How to Make Clear & Enforceable Quality Inspection Standards in Stainless Steel Sheet Purchase Contracts

Winsco Metal is a group-owned manufacturer of stainless steel sheets and coils. When purchasing custom stainless steel plates (SS201,304,316) with 2B, hairline, mirror, embossed and PVD decorative finishes, buyers must write quality inspection clauses carefully in the contract. Vague wording often leads to disagreements; well-defined terms make standards measurable and enforceable.

First, specify the applicable international material standard. Clearly state ASTM A240, EN10088 or JIS G4304, and the exact version. Write down grade, chemical composition, mechanical property and dimensional tolerance requirements. Avoid simple phrases like “good quality” or “no defects”, which carry no objective measurement basis.

Second, define sampling plan and inspection location. Agree whether inspection happens at our factory before shipment, or at destination warehouse. Clarify sampling quantity and sampling method. If SGS or TUV third-party testing is required, state who pays the inspection cost, sampling rules and the validity of test reports. Confirm we will provide MTC (EN10204 3.1) for each heat number.

Third, quantify surface acceptance criteria, especially for decorative sheets. For mirror and PVD color plates, clearly define allowable scratch size, defect area limit, color difference range and coating adhesion test requirements. For flatness, set specific numerical tolerance value instead of “flat enough”. For thickness, specify measuring points and allowed deviation.

Fourth, list test items. Include spectrum analysis for grade verification, tensile and hardness tests. For PVD color sheets, add coating adhesion and color fastness tests. Write which tests are mandatory and which are optional. Record that non-conformity will trigger rework or rejection before packing.

Fifth, clarify acceptance and objection time limit. Set a clear time window for you to raise quality claims after receiving goods. State what defects belong to factory responsibility, and exclude damages caused by improper storage, transportation, handling and on-site processing by buyer.

Sixth, record dispute judgment basis. Agree on which test report will prevail when disagreement occurs. If a conflict appears between factory QC report and third-party report, confirm which lab result will be taken as the final reference.
